Over recent weeks a number of issues have come up which require further discussion . Terry Dillon and I began discussing some of them early in November and Terry prepared a paper U3A Benalla Website Maintenance & Requirements relating to changing the domain name to inform our discussions. The following notes can be read in conjunction with Terry's document.
Payment of Account for Domain Name Registration for 2016
Justhost.com (due - currently on auto renewal) $US14 approximately
The u3abenalla.com domain name is currently held and on auto-renewal with the old website's 'Just Host' and costs in order of $15 to $20 annually. We have been notified of the subscription. The new site currently has a weebly.com free domain name ie. http://u3abenalla.weebly.com . Weebly's domain purchasing service costs $19.99 annually with the first year free. Using Weebly for hosting of the domain name would reduce the number of billers we have to worry about. Continuing with http://justhost.com for the domain name is inexpensive and provides continuity; however it means another biller.
Do we transfer Weebly Free Domain Name http://u3abenalla.weebly.com to the Domain name (currently held by us through Justhost.com) ie. http://u3abenalla.com?
u3abenalla.com is is certainly easier to remember locate than u3abenalla.weebly.com and Google and other searches currently pick it up first on every occasion. It would, however, come at a cost, whereas weebly.com domains are free.
If we don't transfer to it beforehand, it would become available on 23rd January plus one month's grace period.
Payment of Account for Web Hosting/Mail Server for next three years
Justhost.com $150 US per annum
Email Addresses - how useful is paying for Mail Server or equivalent when we only use a small number of web addresses? We need 3 - at most 4/5.
Just Host (due for renewal with hosting package on 23rd January) - would cost approx. $150 per annum (refer to Terry D document)
Weebly (arrangement with Google) - Would cost around $48 per year per user (app $4 per user - which includes up to 30 aliases)
What are the alternative options here?
Ordinary G-mail Free* with all accounts having at least one redirect to/back up person/role which has copies of all accounts addresses/passwords for emergency check ups or audit/s.

We could use a broader descriptor - this is done by other organisations I've come across including the U3A Network Victoria

There is a service which I've found has been recommended by others which offers both the domain and mail hosting at $40 which seems to be a reasonable price - http://nameready.com which it would be good if someone else would check out.
My preference, given the way we operate currently, is to use a containable number of free g-mail accounts and to use their existing capacities to redirect emails to other addresses to manage them.
Windows 10 and its requirements in relation to our current operating system, memory, etc. John Avery has raised this issue as having a developing urgency in terms of decision making.
